A little about us.

We're a Calgary based marketing agency that focuses on supporting some pretty cool programs and clients. We work with business and personal development leaders as well as charities to help them create their online presence and brand. As a team we are efficient, love to support each other and like to work with people take pride in their work. 

We are looking for a new Finance & Operations Manager. Specifically, someone who loves to pay attention to details and make sure that boxes are checked and team & clients are happy.

We are passionate about helping businesses who are passionate about what they do and whom they serve (their customers). We believe that this is the best way we can not only grow our business but help other people at the same time.  

Because a NEW generation of online marketing is evolving. And this new online marketing involves social-media marketing, brand development, online reputation management and intellectual property expansion. Collectively! 

What we need is someone who can be the glue of our new business.

Someone who can understand the way we think and follow our processes (and build some) to turn dreams into reality. To become this, you must be organized, detail-focused, and able to handle lots of stuff all at once. You must also be willing to be a leader in our business and to work with our existing team as well as willing to be excellent at the day to day, repetitive parts of our business. 

Specifically, this means:

  • Help promote a company culture that encourages top performance and high morale. Be there when our team members are in need of help.  
  • Preparing payroll for contractors and paying vendors. 
  • Managing our subscription services and making sure things are up to date.
  • Working with the COO and accountant to make sure taxes are filed and paid, financial reports are delivered on time and the finance area of the business is in order.
  • Assist HR with recruiting when necessary. This will include contractors, vendors and sometimes direct staff. This will include agreements and contracts, making sure they are up to date and documented. Plus communicating them to the appropriate department. Managing time away, who is available when, and having back up options. 
  • Onboarding new team, contractors, vendors and making sure expectations are set appropriately. 
  • Oversee budgeting, reporting, planning, and auditing on various projects. Help with tracking resources and making sure they are allocated properly. 
  • Work with senior stakeholders to reach goals, track projects, report back results, help know what to keep doing and what to stop doing. 
  • Ensure all legal and regulatory documents are filed and monitor compliance with laws and regulations.
  • Helping out various members of the team with different tasks and projects, including database management or organizing files, renaming files and organizing them and reporting.
  • Checking in on systems to ensure that the creative folks are doing their jobs and held accountable. Either enforcing existing processes or instilling new ones to make things run smoother.
  • Finding holes in our business and coming up with creative solutions to solve them. Reviewing what the team reports as areas for optimization. 
  • Taking great notes during meetings and presentations and organizing them into systems we can use.
  • Helping our sales team prepare or update proposals and reports. 
  • Preparing contracts for our sales team, sending through and online service and communicating with the finance department plus making sure everything is filed.
  • Helping our key stakeholders transition out of running too many parts of the business by creating new systems.
  • Continuing to “show up,” no matter what, even when you don’t know what to do next or haven’t met one of your goals.
  • Asking more questions than necessary to get the all the details out onto paper.
  • Invoicing clients and following up on payments (don't worry there we have great clients).
  • Periodically booking travel or coordinating team events. 
  • Managing back end of Google apps for business, setting up domains, setting up team members on our systems and ongoing system administration when things aren't totally smooth. 
  • Working with the COO and accountant to make sure taxes are filed and paid, financial reports are delivered on time and the finance area of the business is in order. 

Now let’s talk about what skills you need to rock this job:

  • You love doing the same thing over and over again. (70-80% of this role is that on daily, weekly, monthly and annual rhythms). 
  • Project-management experience (essentially, you've helped take a project from point A to point B).
  • Business support / legal assistant background. We don’t have any time to waste on drama so if you like office politics, this job wouldn't be a good fit for you.
  • Finance skills, experience with Quickbooks, bookkeeping and recording, interfacing with the accountant and making sure reports are ready to go. Including invoicing clients and double checking for accuracy. 
  • Ability to work independently and make decisions on your own (we have a super HANDS-OFF culture and allow you to run with projects).
  • Knowledge of Google Apps for Business, PowerPoint (or Keynote is a plus), Excel and Word is a good baseline. We heavily use Google Apps, like Google Docs, Sheets, etc.
  • Tech skills or the ability to maneuver through our project-management software, social-media sites, and website. 
  • Some proofreading experience would be a plus – although it’s not a must.
  • If you've worked with a creative team before PLEASE tell us that so we know to move you to the top of our list. We'd like someone who really knows how creative teams work and how to make it easier for them to be great. 

The specifics of your opportunity:

For the first 90 days, be on probation and get a competitive wage working almost full-time contract in our office (we are based in Calgary, Inglewood). After we get up to speed with one another, you'll have some flexibility to work at home. This is a great role if you need flexibility with the rest of your life and want to pick your kids up after school.

After 90 days, your time and remuneration will be re-evaluated based upon your performance and the needs of the company. We have lots of room to grow!

This role will start in February 2020 and we are somewhat flexible with when that is.
